EA-3213 Phase 2 Scheduling and Request for Alternatives

1.0      Purpose

To define the process used to determine Phase 2 clerkship scheduling and circumstances wherein students may make changes to schedules.

2.0      Policy

Phase 2 occurs over one calendar year, essentially encompassing the second half of the M2 year and the first half of the M3 year. There are seven (7) required clinical clerkships and the required Phase 2 Research clerkship. These eight experiences are bundled into four (4) 10-week clusters separated by 2-week Intersessions. Each student will complete

  • a 10-week cluster of Internal Medicine and Neurology; 
  • a 10-week cluster of Surgery and Family Medicine; 
  • a 10-week cluster of Pediatrics and Psychiatry; and 
  • a 10-week cluster of Obstetrics and Gynecology and Phase 2 Research.

3.0      Procedures

Prior to the beginning of Phase 2, students will be asked for their single preference as to the timing of one of the clerkship clusters. These preferences will be used as the starting point for assigning students. Once the clerkship cluster schedule has been finalized, students can request preferences as to the order of the clerkships within each cluster.  Students who have an interest in changing the timing of one or more of their clerkship clusters may do that only if they find a classmate willing to make a switch as the number of students within each cluster must maintain comparable educational experiences.

Students and faculty are required to complete Conflict of Interest surveys so that students are not assigned with members of the faculty with whom there is a conflict (e.g. supervising physician at a site has/had a role in providing medical care to the student or has/had a personal relationship with the student). Other requests for rotation, preceptor, or site reassignment due to unique or extenuating circumstances may be made to the Phase 2 director. Requests for any reason, other than required recusal, will require the professional judgment of administration and will be handled on a case-by-case basis. The determination of the Phase 2 director regarding any/all schedule changes will be final.
