SA-4413 Immunization Requirements

1.0      Purpose

The Liaison Committee on Medical Education (LCME) requires medical schools to define the process for determining the types of immunizations required of students and to establish a process for tracking compliance with these requirements.  The Virginia Tech Carilion School of Medicine immunization policies and procedures are in accordance with the guidelines issued by the Association of American Medical Colleges (AAMC), the Centers for Disease Control and Prevention (CDC), and/or Carilion Clinic.

2.0      Policy

VTCSOM uses the AAMC immunization form to document required vaccinations. All students must meet and document immunization requirements prior to matriculation and/or patient contact. Failure to provide required documentation by specified deadlines will result in removal from classes and clinical activities until compliance is verified. Exceptions (e.g., medical or religious) are considered on a case-by-case basis.

3.0      Procedures

Matriculating students must submit proof of immunization to Schiffert Health Center (SHC) using the AAMC immunization form via the Healthy Hokies portal. SHC personnel review all submitted documentation for compliance.

Students are responsible for all immunization-related fees prior to matriculation. After matriculation, students may access Carilion Clinic Community Care (Roanoke campus) and the Virginia Tech Schiffert Student Health Center (Blacksburg campus), where select routine vaccines may be covered by the student health fee.

The VTCSOM Student Health Oversight Committee (SHOC) provides centralized oversight of the VTCSOM student health program, which includes systematic monitoring of immunization and regulatory compliance and protection of confidentiality for student health information. With SHOC’s operational oversight, Virginia Tech’s Schiffert Health Center (SHC) serves as the primary contact for student questions regarding specific immunization requirements and resources available. The VTCSOM Office of Student Affairs also ensures students are informed about available wellness resources, including access to Carilion Clinic Community Care.

Students are responsible for maintaining up-to-date immunizations and must submit updated documentation upon request through the Healthy Hokies portal.

Additional immunizations or testing may be required based on CDC guidance, Carilion Clinic recommendations, or clinical site requirements. Periodic testing may also be required following potential exposure to an infectious disease. In the event of an outbreak, exempt students may be restricted from classes or clinical activities until public health authorities determine it is safe to return.

Immunization compliance is monitored by SHC, which maintains student health records and notifies students of deficiencies. SHC provides the Office of Enrollment Management (OEM) with confirmation of compliance status only (without specific details) to protect student health information. Students who are not compliant will be deregistered by the registrar in the VTCSOM enrollment management office.  Deregistered students are not permitted to attend any school-related activities. Once the student is complaint with all health requirements, re-registration occurs.
