Important Student Information
Please download this Welcome Letter, which contains detailed information about registering and submitting your project to be viewed electronically by our judges.
The fair will be conducted on April 18th, and winners will be announced on April 20th.
At the conclusion of the regional science fairs, participants will receive an invitation via email from their regional fair director to register for the Virginia State Science & Engineering Fair (VSSEF).
Registration closes April 3, 2020 at midnight.
To begin the registration process, please have the following information ready:
- Name of Regional Fair
- Project Name
- Project Category judged in Regional Fair
- Team Name (if applicable)
**Team names are used to sort projects for judging and for inclusive award presentations. Please consult your group to pick a name that is unique, but easy to spell and to remember.
- Names of Additional Group Members (if applicable – correct spelling please)
- Method of Payment
- All exhibitor registrations require a minimum $1 processing fee. This is in addition to the $30 per exhibitor fair registration fee. Even if your fair registration is being paid by a third party, (school, county, regional fair director) you must pay the $1 processing fee through this site to complete your registration process. NO REGISTRATIONS WILL BE TAKEN BY PHONE, EMAIL OR REGULAR MAIL.
After you complete your registration, the following forms must be completed and sent by email to email@example.com. Each competitor participating in VSSEF, even individual members of group submissions, must download, complete - some requiring guardian signatures these forms.
Please save the files to as "lastname_firstname_nameofform".
Please send the email with the subject line "lastname_firstname_forms".
All forms must be uploaded to complete your online registration. If you have any questions or technical difficulties, please email firstname.lastname@example.org.
Each participant and his/her parent/guardian must fill out and sign all releases and upload the packet during the registration process. Participants may also receive the release forms from their regional fair director following the conclusion of the regional fairs.
W9 forms can be downloaded and completed, but not uploaded. Please turn them in on-site on the day of the event.

Frequently Asked Questions
Whose name should be on the W9? It should be the exhibitor's name on the W9. If there is a cash award given, it belongs to the student and thus their name should be on the W9 forms.
The title of my project does not fit into the registration form. Place as much of the title in the form as you can. The title on the registration form must match the titles from the regional fairs. You can email the full title of your project to firstname.lastname@example.org and we will amend the record at our end.
I did not receive a confirmation email. We suggest that you first check your spam or junk mail folder. If you still cannot find it, send a note to email@example.com and we will confirm your registration.
My school or the regional fair is paying the entrance fee. What option should I choose? You should choose the pay $1 option. All student registrations require a minimum $1 processing fee. This is in addition to the $30 per student fair registration/entry fee. Even if your fair registration is being paid by a third party, (school, county, regional fair director) you must pay the $1 processing fee through this site to complete your registration process.
NO REGISTRATIONS WILL BE TAKEN BY PHONE, EMAIL OR REGULAR MAIL. REGISTRATION DEADLINE: SATURDAY, MARCH 28TH.
Is the entrance fee per project or per student? The entrance fee is per student. Each student must register separately.
Is there a refund policy? Refund requests will be reviewed and determined on a case-by-case basis.
