2.4 – Medical Education/Student Affairs

  • By October 2025, co-host an open forum with students and the CQI large committee, documenting feedback for CQI action.
  • By November 2025, upload the OEA bios, roles, contact information, and org chart to the student's Canvas and orientation packet.
  • By January 2026, implement quarterly OEA touchpoints with each class.
  • By Spring 2026, ISA resurvey launch items will align with OME = OEA responsibilities.

3.6 – Student Mistreatment Policy

Students (esp. M3s) find processes unclear, impacting trust and transparency.
  • By October 2025, LEAC compliance updates are integrated into curricular governance.
  • By November 2025, add a QR code to student/faculty ID badges linking to the reporting system.
  • By December 2025, publish a step-by-step reporting guide distinguishing reports to LEAC vs. Honor Board.
  • By Spring 2026, deliver mistreatment policy education sessions for students.
  • By Spring 2026, schedule at least two structured support sessions for M4 class.
  • By Spring 2026, add mistreatment reporting information (including Beacon link) to Canvas courses and syllabi.
  • By Spring 2026, require annual acknowledgment of the mistreatment policy through Canvas every August.
  • By Spring 2026, share quarterly de-identified case summaries in the OEA newsletter and annual reporting trends.

5.6 – Workspace in Clinical Sites

M3s report inconsistent access to workspace, computers, and storage.
  • By October 2025, complete clerkship audit identifying workspace and secure storage.
  • Meet with hospital partners each semester to review progress on workspace.
  • Obtain and analyze focus group results on workspace needs.
  • Integrate workspace access items into end-of-clerkship evaluations.

5.11 – Secure Storage at Clinical Sites

Students report inadequate secure storage, inconvenient lockers, and outdated lounges.
  • By October 2025, promote locker availability; ensure all are identified and assigned.
  • By Spring 2026, ensure all clerkship orientations provide locker/secure storage info.
  • Standardize Canvas syllabi and handbooks to include storage info.

9.8 – Clerkship Grading

Students want clearer, more consistent grading in clinical education.
  • By October 2025, present grading synopsis at PIC-2 for clerkship directors.
  • Attend First Friday to review grading system and answer student questions.
  • Finalize recommendations regarding fairness in assessment.
  • Create annual grading distributions and present at PIC-2.
  • Update Canvas grading tables for clearer benchmarks.
  • By June 2026, provide technical grading reports and ensure consistency.

11.2 – Career & Elective Advising

Students want earlier, structured, specialty-specific advising across all years.
  • By June 2026, publish specialty-based elective bundles.
  • Integrate career/elective advising into intersessions for Phases 2–3.
  • Publish elective book prior to M4 lottery and distribute to advisors.
  • Shift Phase 2 mentorship to specialty-focused groups with biannual meetings.
  • Establish annual check-ins with Mentoring Community leaders.
  • Implement longitudinal career advising across Phases 1–3.

11.6 – Academic Record Review

  • By January 2026, revise Academic Grievance Policy to align with FERPA.
  • By end of 2025–26, 100% of faculty attest to policy awareness via survey.

12.1 – Financial Aid & Debt Counseling

Students want earlier, stronger financial counseling and debt support.
  • By November 2025, develop communication plan with awareness materials.
  • By December 2025, meet all M4 students for 1:1 financial aid advising.
  • By June 2026, integrate budgeting sessions into M1 orientation and annually thereafter.

12.3 – Mental Health Services

Students want faster access, clarity, and consistent on-site counseling.
  • By October 2025, hire and onboard a part-time on-site counselor.
  • By November 2025, review communication venues for accuracy and relevance.
  • By November 2025, reinforce mental health communications across cohorts.
  • By February 2026, include mental health updates in intersessions and syllabi.

12.4 – Improving Access to Personal Healthcare Services

Students need improved communication and flexibility for personal healthcare.
  • By October 2025, publish centralized healthcare access guide.
  • Update Absence Policy to support healthcare needs and communicate updates.
  • Communicate expectations for scheduling flexibility during clerkships.
  • By January 2026, survey students to assess access barriers.
